How Tutor in the Loop collects, uses, and protects information about families, students, and tutors.

Plain-language summary: we collect the information needed to match your family with a tutor and run sessions safely, we don't sell it, we don't intentionally record sessions, and if your child is under 13 we follow COPPA's parental-consent requirements. Tutor in the Loop ("TITL," "we," "us," or "our") operates an online tutoring platform connecting families with independent tutors. TITL is an Illinois limited liability company.

3. How We Use Information

We may use information to create and manage accounts; match students with tutors; schedule sessions; process payments; provide customer support; communicate with families and tutors; maintain platform security; prevent fraud and abuse; conduct background screening; investigate complaints; comply with legal obligations; improve our services; and enforce our agreements and policies.

4. Children's Information

TITL may provide services to children under 13. Where COPPA applies, TITL will obtain verifiable parental consent before collecting, using, or disclosing personal information from a child, except where a COPPA exception permits collection without prior consent. We enroll families through a parent/guardian, so a parent or legal guardian always provides that consent directly — a child does not create their own account.

6. Service Providers

We may use third-party providers for services including video conferencing, payment processing, identity verification, background screening, hosting, email, scheduling, customer support, analytics, and security. We require service providers that receive personal information to maintain appropriate contractual and security protections consistent with applicable law.

7. Background Checks

We use a third-party consumer-reporting agency (Checkr, Inc.) to conduct background checks on tutors, and handle background reports in accordance with applicable law, including the Fair Credit Reporting Act.

8. Biometric Information

We do not intentionally collect biometric identifiers or biometric information from parents or students. If any identity-verification process for tutors involves biometric information, we will provide the notices, consents, retention practices, and disclosures required by applicable law, including Illinois' Biometric Information Privacy Act where it applies.

9. Session Recording

TITL does not intentionally record or store the audio or video of tutoring sessions. We may temporarily process audio/video information as technically necessary to provide the live video service, but we do not create a recording of a session unless separately disclosed and, where required, authorized. Tutors are not permitted to independently record, photograph, screenshot, or livestream a session or student.

10. Data Security

We maintain reasonable administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, acquisition, destruction, use, modification, or disclosure.

11. Data Retention

We retain information only for as long as reasonably necessary for the purposes described in this policy, including legal, accounting, safety, dispute-resolution, security, and regulatory needs. Information collected from children is retained only as long as reasonably necessary for the purpose it was collected, consistent with COPPA and other applicable law.

12. Security Incidents

If we determine that a security incident has occurred, we will investigate and provide any notifications required by applicable federal or state law.

13. State Privacy Rights

Because TITL serves families nationwide, residents of certain states may have additional privacy rights under their state's law. We will provide legally required rights and disclosures based on your applicable jurisdiction.

14. Changes to This Policy

We may update this Privacy Policy periodically. The revised version will identify its effective date at the top of this page.
